Filipino BBQ Throwdown Competition Judging Procedure

Date: Sunday, June 15, 2025
Venue: Kain Na Filipino Cuisine, San Antonio
Competition Time: 4:00 PM - 5:30 PM
Awards Ceremony: 6:00 PM
Volunteer Instructions
Arrival:
Arrive at 3:30 PM or earlier.
Enter through the front door and locate the Sign-In Table.
Proceed to the Judges’ Area for a pre-event meeting and briefing on your role and responsibilities.
Pre-Event Meeting:
All volunteers will be briefed on their roles and the workflow for the competition.
Ensure you understand your responsibilities and ask questions if needed.
Roles and Responsibilities
Coordinator:
Oversee the entire competition process.
Take photos of entries for Instagram.
Ensure smooth communication between volunteers and judges.
Keep the final scores confidential until the awards ceremony.
Competitor Registration Volunteer:
Sign in competitors as they arrive.
Assign entry IDs and label the entry containers.
Judges:
Taste and score each entry based on the provided scoresheet.
Record the entry ID on your scoresheet.
Scorer:
Enter judges' scores into the official scoring spreadsheet (Google Sheets).
Collaborate with the Coordinator to review and finalize scores.
Detailed Competition Schedule
1. Competitor Check-In (4:00 PM - 4:45 PM):
Competitors arrive at the venue with their entries.
Competitor Registration Volunteer:
Signs in competitors.
Assigns an entry ID and labels the entry container.
2. Entry Photography (During Check-In):
Coordinator:
Takes the following photos of each entry in this order:
A shot of the competitor with their food entry (if they are OK with it).
A close-up shot of the entry ID alone.
A shot of the food with the entry ID clearly visible.
A close-up of the dish.
Creative angles showcasing presentation.
Any unique features of the entry.
Ensure photos are ready for social media posting.
3. Judging Period (4:15 PM - 5:30 PM):
Coordinator hands entries to the judges.
Judges:
Write the entry ID on their scoresheet.
Taste and score the entry based on the provided criteria.
Return completed scoresheets to the Scorer after each entry.
4. Scoring and Deliberation (5:30 PM - 6:00 PM):
Scorer:
Enters all scores into the official scoring spreadsheet (Google Sheets).
Collaborates with the Coordinator to review and finalize scores.
Coordinator:
Double-checks calculations for accuracy.
Keeps the final placings confidential until the awards ceremony.
Awards Ceremony (6:00 PM):
Coordinator:
Prepares the final placings for announcement.
Ensures all competitors are present for the awards.
Winners Announcement:
1st Place: $250 in cash/prizes + trophy.
2nd Place: $150 in cash/prizes + trophy.
3rd Place: $75 in cash/prizes + trophy.
Key Notes for Volunteers
Maintain professionalism and fairness throughout the competition.
Follow the timeline strictly to avoid delays.
Ensure the confidentiality of scores and placings until the awards ceremony.
Notify the Coordinator immediately if any issues arise.
